Pricing

Published, banded by beds, and never per person.

Four bands, one flat implementation fee, and every number on this page. If you have to book a call to find out what something costs, that is a negotiating tactic, not a pricing model.

One-time implementation

$1,900, flat.

Every deployment starts with a one-time implementation. We provision your instance, set the facility up correctly — timezone, state reporting windows, roles, residents, medication orders — and train each role through go-live. It is a flat fee, not an hourly engagement: the number below is the number you pay.

If you spread it, it costs more

Implementation is $1,900 paid upfront, or 3 monthly payments of $800$2,400 in total.

That is a $500 difference, about 26%, and it is a payment-plan fee for carrying the balance — the same uplift every CareIT product publishes. You should not have to do that arithmetic yourself to find it, so we did it for you.

What the implementation covers

  • Dedicated instance provisioning (your own database)
  • Facility profile: timezone, jurisdiction, service hours
  • State incident-reporting windows recorded per facility
  • Roles and permissions configured to your org chart
  • Staff accounts with TOTP two-factor enrolment
  • Resident roster, condition flags and code status loaded
  • Care plan templates and recurring task schedules
  • Active medication orders entered and double-checked
  • Allergies and diet orders, including IDDSI textures
  • Inventory locations, par levels and opening stock
  • A two-week menu cycle authored and dietitian-approved
  • Role-based training: caregivers, nurses, kitchen, admin
  • Downtime Pack drill before go-live
  • Go-live cutover with our team on standby

It is a fixed fee, not an estimate. If setup takes longer than we planned, that is our problem to absorb — not a change order to sign.

How we price

The doctrine behind the numbers.

Never per user

Assisted living turns over roughly 43% of its caregivers a year. Charging per seat would bill you for that churn and tempt your team into shared logins — which destroys the one thing an audit trail is for. Staff accounts are unlimited on every plan.

Never per resident event

We do not meter care. Log as much as the shift requires — medication passes, care notes, incidents, vitals — the bill does not move.

No feature held hostage

The smallest plan gets the same eMAR, the same audit trail, the same two-factor authentication as the largest. Plans differ by how many beds and facilities they cover, not by which safety features you are allowed.

Annual saves 15%

Annual billing is exactly 15% below twelve monthly payments, with price protection for the term.

Implementation is one-time and flat

$1,900, covering everything in the list above. Not hourly, not "starting at" — if setup takes longer than we estimated, that is our problem, not a change order.

The payment plan costs more, and we say so

Implementation is $1,900 paid upfront, or three monthly payments of $800 — $2,400 in total. The $500 difference is a payment-plan fee for carrying the balance, and it is the same ~26% uplift every CareIT product publishes. You should not have to do that arithmetic yourself to find it.

Outgrowing a band is a conversation

Take a 13th resident on a Home plan and nothing shuts off mid-shift. We move you to the next band at renewal. Software that locks a caregiver out during a medication pass is a safety problem, not a collections strategy.

The ladder gets cheaper per bed

Roughly $19 per bed at 12, $14 at 30, $12 at 60 and $10 at 100. Growing should cost you less per resident, not more — and the four bands exist so the step up is a step, not a cliff.

Your data leaves with you

A dedicated database per facility, and CSV exports of residents, medications, incidents and the audit trail available to you at any time — not just on the way out.
